Position:  Program Administrator/Executive Assistant

Region:  London and Middlesex

Description:  The London Family Health Team (LFHT) is seeking a highly organized, resourceful and detail-oriented Program Administrator/Executive Assistant to join our team.

This is a unique dual-role position that combines program administration, quality improvement, data and reporting, technology/EMR support, and executive administrative support. The successful candidate will work closely with the Executive Director and interprofessional primary care teams to support the effective delivery, evaluation, and continuous improvement of LFHT programs and operations.

The ideal candidate is someone who enjoys bringing structure to complex work, solving problems, working with data and technology, and supporting teams to get things done.

Responsibilities:

Executive and Organizational Support —

  • Provide high-level administrative support to the Executive Director, including briefing materials, presentations, reports, finance, correspondence, agendas, and meeting support.
  • Support policy/procedure updates and organizational tracking, documentation, and administrative processes.
  • Maintain organizational resources, spreadsheets, directories, and tools.

Program Administration and Quality Improvement —

  • Support the planning, implementation, evaluation, and continuous improvement of LFHT programs and services.
  • Coordinate quality improvement initiatives, including QIP development, monitoring, reporting, and practice improvement.
  • Develop and maintain program tools, workflows, templates, and documentation.
  • Identify opportunities to improve processes, efficiency, and team workflows.

Data, Reporting and Performance Measurement —

  • Collect, validate, analyze, and report data to support program evaluation, accountability, and decision-making.
  • Coordinate monthly, quarterly, and annual reporting, including Ministry requirements.
  • Conduct data audits and quality checks and maintain reporting tools, spreadsheets, and dashboards.
  • Support data extraction and analysis from EMR and other systems.

EMR, Technology and Digital Support —

  • Support EMR optimization, including shadow coding, templates, forms, reporting fields, data extraction, and digital workflows.
  • Provide first-level support for PSS and Ocean, escalating technical issues as required.
  • Support basic HTML/CSS, WordPress, website content, and other digital/technical needs.

Communication and Collaboration —

  • Work collaboratively with physicians, NPs, allied health professionals, administrative staff, leadership, and external partners.
  • Develop presentations, surveys, reports, patient education, and other communications.
  • Handle confidential information with professionalism, discretion, and sound judgment.

Qualifications:

  • Post-secondary education in Office/Health System Information, Organizational Development, Quality Improvement, Project Management, or related field; and/or equivalent experience.
  • 3–5 years of progressive administrative experience, preferably in healthcare or primary care.
  • Experience in quality improvement, program development and coordination, project management, data analysis, or performance measurement.
  • Certification in QI methodologies such as IHI Model for Improvement or LEAN (an asset)
  • Strong proficiency with Microsoft Office, particularly Excel, Word, PowerPoint, Outlook, Teams, and Forms.
  • Demonstrated ability to work with data, spreadsheets, reporting tools, and data visualization.
  • Experience with Telus Practice Solutions Suite (PSS), Ocean, WordPress, HTML/CSS, and similar platforms or willingness to learn.
  • Valid Ontario Driver’s Licence and access to a reliable vehicle, or reliable transportation that enables travel between work locations, required.
  • French language proficiency is an asset.
  • Highly organized, detail-oriented, and able to manage competing priorities.
  • A proactive problem-solver and critical thinker who takes initiative.
  • Comfortable working with data, technology, and digital systems.
  • An excellent communicator and relationship-builder who thrives in an interprofessional environment.
  • Able to work independently and exercise sound judgment about when to seek support or escalate issues.
  • Committed to confidentiality, professionalism, continuous improvement, and service excellence.
  • Familiar with the primary care/Family Health Team environment
